Logistics Specialist

 Supervisor: Logistics Coordinator

Job Description:

On behalf of company offices and ships, coordinating the timely delivery of the goods and services supplied at a fair price, running daily work orders of the supervisor.

Competence:

• Preferably a university graduate of a maritime faculty or holder of a maritime college degree; or a graduate of the English-medium International Trade and Logistics program at a Turkish state university, with strong knowledge of logistics operations and supply chain dynamics.
• Having preferably have at least 3 years of experience in the supply chain or logistics field and, if possible, in the maritime sector.
• Recognizing the maritime industry and its actors (agents, suppliers, shipping / transport companies, barge firms, etc.).
• Strong command of English grammar and excellent verbal communication skills for international business contexts.
• Ability to use Artificial Intelligence tools for supply chain optimization and predictive analytics.  

Responsibilities, Duties and Authorizations:

• Managing and controlling the logistics budget, ensuring cost efficiency and financial oversight for all operations.
• Assessing the ship's supply / maintenance / service / personnel / visitor needs of the departments and logistics factors (time, cost) required for this and coordinating them with the Logistics Coordinator.
• Ensuring that all the material orders that are placed to be sent to the vessels are completed at the supplier company; and arranging, monitoring and finalizing all the transferring operations, of the materials that are ready to be sent, such as the departure from the supplier company until their arrival to the ship etc., in accordance with the needs of the requesting department.
• Arranging, monitoring and finalizing all the materials required to be shipped from the vessels, such as shipping the materials from the supplier company until their arrival to the agent and the ship etc., in accordance with the needs of the requesting department.
• Carrying out the renewal of Ship Sanitation Certificate, etc. to be supplied through the agency for the vessels.
• Assisting in fulfilling the needs of demanding departments in the procurement of services and materials which may be requested from the protective port agents when necessary.
• Carrying out all shipping activities between the company, agencies, suppliers and other institutions. Tracking, controlling and finalizing all stages of each procurement process, including onboard/at office receptions.
• Tracking, controlling, and finalizing the payment and cost documents of the Protective Agency and the shipment invoices related to the transport companies.
• Carrying out contracts of transport services provided by logistics companies and updating them on a year-to-year basis.
• To work closely with other departments within the company, including Tanker Operations, Purchasing, Technical and Marine Departments.
• Arranging, monitoring and concluding transfers of the personnel going to ship from shore offices, Service Teams and other members to join the ship on various grounds, and other persons to participate in the vessel in special circumstances, including getting on and off the ship.
• Having knowledge about the general principles of the company's quality and safety management system (QSMS). Actively contributing to implementing the procedures and processes defined in the QSMS and at the same time to develop and update processes and forms that are relevant to the Department.
• Collecting the necessary data to follow up the KPIs under the responsibility of the Department and ensuring that they are corrected/completed, where necessary.
• Complying with the “Personal Data Protection Law No. 6698” and other rules and regulations concerning the personal data protection to ensure the execution and regulation of company operations, to comply with and supervise the legislation and to maintain corporate and administrative management as employee’s/data processors.
• Once the supply operations have been completed in any port, the amounts must be checked against the quantities ordered by the Purchasing Department via the AMOS/ERP System entries to ensure compliance.
• When the Logistics Specialist is not in the office due to leave, illness or similar reasons, his work is carried out by the Logistics Coordinator personnel in the relevant department
